CEO MANAGER ASISTANT STELLAR Advanced Technologies and Defense Systems Limited Company, which operates in Turkey (Headquarters) and Romania is looking for “CEO Manager Assistant” who has the following qualities and requisites. An experienced professional, preferably conducted the same job in a global corporation to support CEO in every possible detail. Calendar management including appointments, email traffic, company activities, and other business in the company to support CEO will be conducted by the Manager Assistant. In order to achieve this task, according to the outline and framework provided by CEO, Manager Assistant organize the daily work including the appointments, visits, emails notification and replies to the other companies, and other works requested by CEO. Manager Assistant shall manage and prepare the formal correspondence with all sides including customers, represented companies, legal/tax authorities, and etc. Manager assistant shall be the first point of contact for the incoming calls as well as other correspondence methods, and all correspondence including telephone and email traffic will be reported to CEO in a timely manner. All correspondence replies will be conducted according to CEO directives including email replies, business letters and phone call returns. Manager Assistant shall have advanced knowledge and experience to use Microsoft Office Programs, especially MS Word, MS Excel, MS PowerPoint and MS Outlook. Manager Assistant shall prepare company, product or any other presentation using MS Power Point with quite ease in a professional presentation manner. Manager Assistant shall always keep the records of daily works in company server using MS Excel. Moreover, any data regarding pricing, quotations, bills, parts list and other lists directed by CEO shall be prepared in MS Excel/Word/Power Point and recorded in the same manner. Manager Assistant shall scan all the official paper-based documents that come to the company and store it digitally in an appropriate folder. Manager Assistant shall keep the record of all contacts which STELLAR makes business either companies or Legal/Tax Authorities. Every business card provided by CEO will be recorded into the server and also own phone as well as CEO’s phone. Manager Assistant shall organize all office work according to the importance of the works as well as by CEO directives. Manager Assistant shall create a folder system both physically and also digitally to keep company related documents in the most efficient way. Manager Assistant shall organize the meetings with the customers, companies, and other governmental/tax authorities according to the schedule as well as CEO directives. Manager Assistant shall accompany most of the meetings and take notes with CEO. Following the meetings, Manager Assistant shall prepare “Meeting Minutes” report which supposed to include the important issues and present the report to CEO in a timely manner. Manager Assistant shall organize all accommodation and guest relations activities from picking up the customers and/or represented companies’ officials from the airport, transferring them to the pre-reserved hotels and all other social activities. Every occasion regarding this issue will be prepared according to the details provided by CEO. Manager Assistant shall organize all details such as plane tickets reservation and purchasing, hotel reservation, rental car reservation and etc. for all business trips of CEO. Manager Assistant will collect company expense invoices daily, keep in a folder, take the picture of each company expense invoice, store in an appropriate folder in company server, transfer each invoice to a monthly MS Excel file provided by CEO, and, present and inform CEO regarding every passed month’s MS excel file until the end of the first week of the new month. As soon as authorized by CEO, Manager Assistant shall send the passed month’s company expense invoices to the company accountant. Manager Assistant shall be responsible for taking the security measures to protect all the company related information since that information is “Commercial Secret”. Manager Assistant shall sign “Non-Disclosure Agreement” before officially entitled as “Manager Assistant”. Manager Assistance shall never share any kind of company information such as price quotations, represented companies’ price lists, etc. with anybody or any organization without the approval of CEO. Manager Assistant shall conduct all posts and cargo works and inform CEO. Manager Assistant will conduct guest relations works such as coffee/tea preparation and serve, as well as snacks for the company guests. Manager Assistant shall be responsible for buying all office utilities such as paper, printer tonner, pens, folders, etc., when needed, by informing CEO. Manager Assistant shall be responsible for all other works requested by CEO. Manager Assistant shall have English language knowledge at least C1 (Business Fluent). Job description Job Description Operations Manager should have an excellent level of commercial awareness, who can build and maintain relationships with internal and external guests. Also responsible for highlighting short/medium/long-term issues to the General Manger and to help formulate solutions. The Operations Manager is also required to assist in the preparation of the annual budgeting and monthly forecasting processes. Responsibilities Fully responsible for all aspects of all departments in the hotel. Support and work with all Head of Departments in all aspects of running the hotel. Ensure the premises are in operative condition as per category of the unit to receive & serve the guests. Conduct regular operations team meeting with all the HOD daily weekly to discuss routine operational matters, sales targets, and also any staff issues. Minutes of the meeting to be sent to GM. Ensure SOP implementation in all departments and check the same during routine operational checks. Monitor the purchase and requisitions of each department, the accounts receivable and the accounts payable (payable to the vendors suppliers). Randomly inspecting the stores (F & B Kitchen) to check the stock in hand (quality, stock levels, expiry) with the F & B Manager & Chef. Dealing with Suppliers Vendors for quality products and providing performance assessment of vendors from time to time. Monitor the co-ordination between all departments for smooth & efficient operations. Assessing and reviewing customer satisfaction and service recovery process. Responsible for the overall management of the operation of the hotel. Requirements Minimum 3 to 4 years work experience in a 3 to 5 Star Hotel as a Deputy Manager, Asst. Operations Manager or Hotel Manager. Knowledge of hotel organizational effectiveness and operations management Excellent communication skills and organizational skills Degree in Hospitality Management or any related course. Good use of Microsoft Office Suite
